Grief Support Coordinator – OPEN

CLOSING DATE FOR APPLICANTS: May 5 2023

JOB START DATE: May 30, 2023

$32,978 – $34,538 per year – 30 hours per week – Permanent

Do you have an interest in helping people who are grieving? Do you understand the grief process and have a desire to help support those in their personal grief journey?

The Coordinator of Grief Support Services primary responsibility is to assess all requests for grief support service and if eligible assign to the appropriate Hospice PEI grief support service.

Secondary responsibilities include the facilitation of existing and future development of in-person and virtual grief programs along with the supervision, motivation, and evaluation of current Hospice PEI Grief Support Volunteers and programs.

Key components of this position are the assessment of requests for grief support services, assignment to the relevant service or program, development, facilitation, monitoring and evaluation of grief support services and programs and volunteers in all three service areas of Hospice PEI.

Other responsibilities will include input to the development of new and maintenance of existing grief support programs and services, policies, and systems to ensure relevant and effective program management.

Job Duties

Assessment of Request for Services:

Respond to all requests for grief service and referrals for grief support

Determine if requests meet criteria for peer-to-peer based support

Assign appropriate program or service

Refer to professional body if scope of requests requires professional counselling.

Respond to all inquiries and provide information about Hospice PEI Grief Services

Volunteer Training:

Research grief support best care practices to inform the design and update of the grief support volunteer training module.

Develop and execute a volunteer recruitment and retention strategy – specifically focused on grief support volunteers, including the development of a volunteer recognition program.

Provide orientation, training, and on-going support to all grief support volunteers, and support of hospice volunteers in conjunction with other Hospice PEI Coordinators as needed· Coordinate logistics for training venues, AV requirements, guest speakers, materials, scheduling, etc.

Volunteer Coordination:

Act as a primary staff resource for grief support volunteers. 

Communicate with volunteers regularly through various methods to ensure a positive experience for both volunteer and the organization. 

Match volunteers to grief clients based on skill sets, interests, and personality tendencies.

Check in with volunteers to ensure they have the resources needed to fulfill their duties

Plan, and participate in as required, events and fundraisers, volunteer socials and training.

 Plan and facilitate annual volunteer conference in coordination with all Hospice PEI staff.

Assist in planning and executing a volunteer thank-you event (per region).

Establish and conduct volunteer evaluations and exit interviews.

Establish and conduct screening interviews with potential volunteers; ensure volunteer police checks have been cleared and all other policies and documentation are reviewed with new volunteers.

Contact volunteer candidates with notification of acceptance or rejection for grief support volunteer work with Hospice PEI.

Administration: 

Receive written or verbal grief activity reports monthly from volunteers.

Update database, volunteer job descriptions, and volunteer manual as required.

Participate regularly in staff meetings to share ideas and suggestions to improve Hospice PEI services.

Maintain a variety of statistical records.

Create and maintain personnel type records on volunteers including contact information, criminal record check, statistics (i.e. hours volunteering), preferences, etc.

Create and maintain client files in database system including contact information, volunteer(s) matched, etc.

Responsible for the continuing development of the grief support volunteer program, using best practices in programing from other coordinators and external hospice organizations as are relevant.

Provide monthly reports, statistics, etc., to the Executive Director when requested.

Other duties as assigned.

Requirements ·

2 years’ experience in volunteer or other Human Resource management 

Post-secondary degree in a related field. Psychology, Thanatology, Family Science, Counselling

Commitment to confidentiality, discretion, and sound judgment at all times 

Strong interpersonal skills and ability to work independently and/or as part of a team.

Ability to exercise a high level of professional empathy and compassion

Strong written and verbal skills with the ability to communicate effectively and efficiently

Successfully complete Hospice PEI Volunteer Training program within the first year of employment

High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts 

Politically and culturally sensitive

Must have demonstrated experience in Microsoft Office Suite of programs (Word, Excel, Power Point, One Drive)

Ability to develop recruitment and selection procedures for volunteers 

Ability to conduct effective presentations

Ability to exercise strong time management skills

Ability to coordinate volunteers, including organizing, prioritizing, and scheduling assignments · Solid conflict resolution and people management skills

Excellent teamwork and team building skills

Good mentoring skills are essential

Must provide clear RCMP or police security clearance with Vulnerable Sector check Work Conditions ·

Interacts with volunteers, Hospice staff, and site staff ·

Travel within the province is required ·

Manual dexterity required to use desktop computer and peripherals ·

Flexible hours as required
